Rental Rules and Responsibilities

Reservations: A 5-calendar day hold can be placed on a specific date with a non-refundable $50 application fee. By the 5th calendar day, 50% of the monies for the requested date must be paid in full. Otherwise, the date will no longer be held, and the application fee will be forfeited. All monies for the event date must be paid in full 30 days prior to the event date.

Security Deposit: The security deposit must be paid within a 5-calendar day hold.

Security: Police are required for all social events. Payment for security is required 48 hours in advance of your event paid by Zelle or Cash App. Meet Up PG will supply security exclusively.

Ticket Sales: Tickets may not be sold on venue premises.

Force Majeure: Meet Up PG shall not be liable for the loss or reimbursement due to cancellation or termination of scheduled event due to force majeure, act of God or inclement weather. Meet Up PG shall not be liable for the failure of the participants to appear, present or perform if such failure is caused by or due to a natural disaster. If the Contract Holder or Meet Up PG exercises their right and cancels the event before it has begun, Meet Up PG shall refund all monies previously paid and any monies used to pay for service invoices or service contracts including non-cancel commitments.

Cancellation by the Contract Holder: All cancellations must be in writing, signed by the contract holder and addressed to Meet Up PG. Telephone cancellations will not be accepted. If the contract holder cancels the event: within 45 days after making the reservation, the security deposit and application fee are forfeited.

Cancellation by Meet Up PG: It is Meet Up PG’s mission to ensure an extraordinary rental experience. If at any time any element of the event is found to compromise the venue or Meet Up PG staff such as schedule conflict, number of participants or spectators, event agendas, etc., Meet Up PG reserves the right to cancel the event without reimbursement.

Date Changes: A one-time only reserved date change within the same venue is acceptable up to 6 months prior to the event date. Any further date changes will be treated as a cancellation.

Rehearsals: Rehearsals are not guaranteed and are scheduled on a first come first served basis. Rehearsals may only be scheduled 30 days or less in advance of the event date. Rehearsals are not scheduled on Saturdays, Sundays, holidays or the hour before the contracted time. There is a fee of $350 per hour or any part of an hour for Rehearsals.

Caterer Guidelines: Caterers must submit a copy of their liability insurance certificate (must be insured up to $500,000 per occurrence under General Liability Insurance), venue permit (the caterer’s name must be linked to venue permit) issued by the Health Department in their county and individual food handler’s permit of the catering supervisor who will be onsite 120 days prior to the event. All caterers must comply with Meet Up PG’s rules and regulations regarding food service, set-up, breakdown and clean-up at an event.

Set Up, Break Down: Only the insured caterer is allowed to set up and break down tables and chairs.

Alcohol and Smoking: No sales of alcohol are permitted. All guests must be 21 years of age or older in order to drink. There is no smoking of cigarettes, hookah or marijuana allowed on the premises. If these conditions are not in accordance with Meet Up PG’s rules and regulations, Meet Up PG is not liable for any accidents or damages.

Note: The contract holder is responsible for notifying the Meet Up PG staff of any status change of name, address or phone number. The refunds (if applicable) will be mailed and made payable to the address and person listed on this agreement.

$1,000 Room deposit is due 30 days before the event date. The deposit will be returned in full if there are no damages or clean-up expenses; for example, garbage not removed and placed in the dumpster in the rear of the building, broken furniture/accessories, damages to kitchen, damage to light fixtures, damages in bathrooms and damages to the walls/doors and building structure. Deposit will be returned 14 business days after the event date.

  • All setup, event and clean-up must occur within the rental period.
  • Additional event time is $500 per hour.
  • Any holiday day chosen for the event is considered a weekend event time.
  • A $500 per hour load-in/load-out (moving fee) is charged for bringing in furniture, trees, arbor or props.
  • Prices subject to change without notice.
By signing this contract, I certify that I have received a copy of the Rental Rules and Responsibilities and will comply with the terms within the Application and Rental Rules and Responsibilities. I take full responsibility for any damage and injuries incurred during my event.
